A complete Prosci ADKAR-based change management plan built for a 500-person pilot rollout, deploying Microsoft Copilot, ChatGPT Enterprise, Claude Enterprise and AI agent capabilities across Customer Support, Sales & Account Management, and Operations. The deck demonstrates the full change management lifecycle: a PCT (Project, Change, Technology) risk assessment, stakeholder analysis and sponsor coalition mapping, a risk assessment weighing change characteristics against organizational readiness, role definitions for sponsors and people managers, an ADKAR-based training and communication blueprint, and a change management plan tracking the initiative from kickoff through completed adoption.
The project carried a “High Risk” change management rating going in — low initial sponsorship visibility and mixed trust in AI-generated output across the pilot group. The plan addressed that through a structured sponsor coalition, transparent communication about AI guardrails, and verified hands-on practice, resulting in full pilot adoption across all 500 employees, retirement of unapproved AI tool use, and a pilot ready to move into enterprise-wide rollout.
As organizations race to adopt AI, the technology is rarely the hard part — getting people to actually change how they work is. This project applies Prosci’s ADKAR model and the PCT (Project, Change, and Technology) framework to a 500-person pilot rollout of Microsoft Copilot, ChatGPT Enterprise, Claude Enterprise, and AI agent capabilities across Customer Support, Sales & Account Management, and Operations. The plan diagnoses the organization’s risk profile, builds a stakeholder and sponsorship strategy, and sequences an ADKAR-based adoption roadmap — from awareness and desire through verified, hands-on proficiency — so that licensing a tool translates into people actually trusting and using it. The presentation below walks through the full change management plan built to take this pilot from kickoff to sustained adoption ahead of enterprise-wide rollout.
